Service Reminder Messages: 10 Ready-to-Use Templates

4 min read

A good reminder message has three parts: the customer's name, what's due and what the customer should do next. Edit the 10 templates below with your business name and details, and you can start using them today.

5 rules for a good reminder message

  1. Start with the customer's name. It immediately signals a personal message.
  2. Say clearly what's due: the equipment, the service and the date.
  3. Ask for one thing: “Reply to this message” or “Give us a call.”
  4. Always sign with your business name. A message from an unknown number without a name doesn't inspire trust.
  5. Keep it short. It should be readable on a phone screen without scrolling.

When should you send the message?

For most businesses, a first message 5–7 days before the due date and a short confirmation the day before a booked appointment are enough. Send messages during the day when customers can read and reply comfortably; messages late at night or very early in the morning can be annoying.

What not to do

  • Messaging the same customer several days in a row.
  • Adding promotions or discounts to a reminder. That content may count as marketing and can require separate consent.
  • Sending everyone the same unsigned, nameless text. It reads like a mass announcement.
  • Including more personal information than needed, such as a full address or payment details.

You don't have to fill in templates by hand

In Hunlio Periodic Tracking, every service record is saved with the next follow-up date. When the date comes up, the customer appears on the Reminders screen with the message already prepared. You review the text and send it from WhatsApp or Messages. You choose the message channel in Settings.

Frequently asked questions

Is it OK to send bulk messages on WhatsApp?

Reminders work much better when they're personal. Sending the same text to many people at once gets little attention and can lead recipients to block your number.

Do I need permission to send reminders?

It's good practice to tell customers you'll send reminders when you collect their contact details, and to get their agreement. Messages with promotions or discounts may need separate consent; check the rules that apply where you operate.

Text message or WhatsApp?

Whichever your customers use. WhatsApp makes replying easy; text messages reach customers who don't use WhatsApp. In Hunlio you choose the channel in Settings.
