Vet Vaccine Reminders: A Step-by-Step Guide
4 min read
The vaccine reminder routine that works best is simple: after every visit, record the next due date, and when it gets close, send the pet owner a short, personal message. This guide shows how to set that up in your clinic, when to send each message and what to write.
Why reminders matter so much
Pet owners usually keep vaccine records in a drawer at home, and the next date slips their mind. Without a reminder, checkups get pushed back and sometimes forgotten entirely. For the clinic, that means a risk to the pet's health and a regular client who quietly drifts away.
A well-run reminder routine solves both at once: owners don't miss the date, and the clinic can plan appointments ahead.
What should you record?
- Owner's name and mobile number. Note whether they use WhatsApp or prefer text messages.
- Pet's name, species and age. Microchip number if available.
- What was done: core vaccine, rabies vaccine, heartworm or flea and tick prevention, or a wellness exam.
- Date of the visit and the next due date.
Everything depends on the “next due date” field. The vet sets the schedule; the reminder routine only makes sure the date isn't forgotten.
When should you send the message?
A schedule that works well for many clinics:
| When | Purpose |
|---|---|
| About 7 days before the due date | Let the owner know and book a visit |
| 1 day before the appointment | A short confirmation for booked clients |
| 3–5 days after the due date | A friendly follow-up for those who haven't come in |
More than three messages can feel pushy. If there's no reply after the follow-up, add a note to the record and raise it in person at the next visit.
Ready-to-use messages
Hi Sarah, Max's annual vaccines are due soon (October 21). Reply to this message and we'll find a time that suits you. — Northside Animal Clinic
Hi Sarah, just a reminder that Max's vaccine appointment is tomorrow at 2:30 pm. See you then! — Northside Animal Clinic
Hi Sarah, Max's vaccines are now overdue. We'd be happy to see him whenever it suits you; just reply here to book. — Northside Animal Clinic
Keep it short, use the pet's name and always sign with the clinic's name. A message with the pet's name gets far more attention than a generic announcement. For more examples, see our 10 service reminder templates.
Paper, spreadsheet or follow-up software?
A clinic with few patients can manage this with a planner or a spreadsheet. But finding whose date is due means scanning the whole list every day, and on a busy day that step is easy to skip.
In follow-up software, a record moves onto the day's list automatically when its date comes up. All that's left is to review the message and send it. Our comparison of spreadsheets and follow-up software can help you decide.
How it works in Hunlio Periodic Tracking
- Choose the Veterinary industry. Services such as wellness exams and vaccines come ready; you can rename them and set your own prices.
- After the visit, create a new service record: owner, pet, services and the next due date.
- As the date approaches, the record appears on the Reminders screen, grouped into overdue, due today and upcoming.
- Review the prepared message and send it yourself from WhatsApp or your phone's Messages app.
Hunlio doesn't send messages automatically on your behalf and doesn't charge for messages. They go out from your own number, under your control, and owners reply directly to you.
Things to keep in mind
- Consent: When you collect a phone number, tell the owner you'll send reminders and get their agreement. Follow your local rules on customer messaging.
- Keep reminders and promotions apart: Messages with discounts or product offers may count as marketing and can require separate consent.
- Save numbers correctly: A number saved with its country code makes sure the message reaches the right person.
Frequently asked questions
How many days before should a vaccine reminder go out?
For many clinics, a first message about a week before the due date and a short confirmation the day before the appointment works well. Adjust these to suit your clients.
Do I need WhatsApp Business?
No. Hunlio prepares the message; you can send it from your personal WhatsApp, WhatsApp Business or your phone's Messages app.
Are the reminders sent automatically?
No. Hunlio Periodic Tracking lists the records that are due and prepares the message; you review it and send it yourself. That way no message goes to the wrong person or at the wrong time.
